Executive Assistant & Childcare Support
Copper Island Academy is seeking a full-time Executive Assistant & Childcare staff member to join our outstanding educational team.
Copper Island Academy is a newly authorized public school academy in the Keweenaw Peninsula of Michigan located in Calumet. Our mission is to prepare all students for college, work, and life success through the implementation of highly effective Finnish education practices while embracing traditional American ideals.
Copper Island Academy seeks a dependable, detail-oriented professional who enjoys both organization and people. This versatile position combines traditional office administrative duties with on-site childcare support for staff infants. The ideal candidate will be organized, flexible, and ready to contribute to a positive and supportive school environment.
Primary Responsibilities
Executive Assistant Duties
- Submit invoices for payment and maintain accurate financial documentation.
- Receive and document payments for school meals, transportation, and other programs.
- Complete and record deposits in accordance with school procedures.
- Make and track purchases, ensuring timely delivery and proper inventory and distribution of supplies and materials.
- Maintain records of student enrollments and verify submission of required documentation.
- Assist with creating and rostering courses in PowerSchool prior to the school year and at the beginning of each term.
- Provide general administrative and clerical support to ensure smooth daily operations.
- Assist with lunchtime point-of-sale operations.
- Support the school leadership team and assist with special projects as needed.
Secondary Responsibilities:
Childcare Support Duties
- Provide caring, attentive support for infants (currently ages 2–6 months) who are on-site with their teacher parents.
- Supervise nap time, take babies for walks, and assist with feeding and soothing as needed.
- Maintain a safe, nurturing, and calm environment that supports each child’s routine and comfort.
- Communicate effectively with parents regarding the child’s care and needs during the day.
Assistant to the Athletic Director
- Create team rosters for home events and provide to event staff for distribution.
- Update athletic schedules and communicate changes with relevant parties.
- Schedule bus transportation for away events as needed.
- Prepare and maintain cash boxes for admissions and concessions at athletic events.
- Order, stock, and inventory concessions supplies.
- Provide general organizational and logistical support for athletic programs and events.
Work Environment
This position is primarily based in the school office, with occasional support in nearby classrooms. The role involves a balance of administrative responsibilities and light childcare support throughout the day, depending on need.
Qualifications Desired
- Prior experience in administrative, bookkeeping, or office support roles preferred.
- Strong organizational and time-management skills, with attention to accuracy and detail.
- Ability to manage multiple priorities and maintain confidentiality.
- Dependable, flexible, and team-oriented, with a positive and professional demeanor.
- Proficiency in Google Workspace.
- Comfortable and confident in caring for infants; experience with babies under 1 year old preferred.
- CPR/First Aid certification (or willingness to obtain upon hire).
